How Zenith CC handles information when you call or message a dealership that uses our service.

Last updated

01

Who we handle information for

We provide our service to dealerships ("clients"). When you call or message a dealership that uses Zenith CC, the dealership is collecting your information for the purpose of servicing your vehicle, and we handle it on the dealership's behalf. The dealership's own privacy policy also applies.

02

What we collect

  • Identity and contact details: your name and mobile number.
  • Vehicle details: registration, make, model, and service information needed for your booking.
  • Booking details: preferred dates, drop-off and pick-up preferences, notes you ask us to record.
  • Call recordings and transcripts: calls handled by the AI assistant are recorded and transcribed so the dealership can review the quality of the service.
  • SMS messages: messages you exchange with the assistant.
  • Technical data: call times, duration, and outcome.

We do not ask for payment card details, government identifiers, or health information. Please avoid sharing these during a call.

03

How we collect it

Directly from you during a call or SMS exchange; from the dealership's management system (for example, to find your vehicle by your phone number); and automatically from the phone network (your caller ID).

04

Why we use it

To answer your enquiry; book, change or cancel your service appointment; send booking confirmations and reminders by SMS; let the dealership review calls for quality and training of its staff; and to keep the service secure and reliable.

We do not use your information to train AI models that are available to the public or to other dealerships, and we do not sell it.

05

Who we share it with

  • The dealership you contacted.
  • Service providers that operate parts of our platform: telephony (Twilio), the AI voice platform and its speech and language providers (Vapi, Soniox, OpenAI, Cartesia), cloud hosting (Amazon Web Services, Vercel) and monitoring (Langfuse). Each is bound by contract to protect your information and to use it only to provide the service to us.
  • Law enforcement or regulators where required by law.
06

Overseas disclosure (APP 8)

Our records, your booking details, call summaries and reports, are stored in Australia (Amazon Web Services, Sydney). To run a live AI conversation, the audio and text of your call are processed by specialist providers, and call recordings and transcripts are stored by our AI voice platform provider, some of which operate in the United States. We take reasonable steps to ensure these providers protect your information to standards consistent with the APPs, including contractual data-processing terms, no-training commitments, and encryption.

07

How we protect it

Encryption in transit and at rest, access limited to authorised staff and to the dealership you contacted, multi-factor authentication for administrators, and automated deletion of recordings after the 14 day retention window. Transcripts get deleted upon the termination of the contract with the client, or upon request.

08

How long we keep it

  • Recordings: 14 days.
  • Transcripts, call summaries and booking details: for the life of our agreement with the dealership and a short period after. Details are in our Retention Policy.
09

Access, correction and complaints (APP 12–13)

You can ask to access or correct your information, or ask that a recording be deleted, by contacting the dealership or emailing admin@zenith-cc.ai. We respond within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).
